Privacy Policy

Last updated:  10/19/2026

This Privacy Policy explains how Observe.AI, Inc. ("Observe.AI," "we," "us," or "our") collects, uses, and discloses personal information, and how you can exercise your privacy rights.
‍

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information we collect through our website https://www.observe.ai, marketing, sales, events, customer support, platform user accounts, and recruiting, whether online or offline offerings. In this policy we refer to all of these together as our "Services."

Customer Data. This Privacy Policy does not apply to the personal information we process on behalf of our customers through their use of our Services ("Customer Data"). Our customers decide why and how that information is processed; we act only on their documented instructions, as their service provider and processor. Our customers' own privacy policies govern their collection and use of Customer Data, and our obligations are set out in our contracts with them, including our Data Processing Addendum - not in this Privacy Policy. If your personal information is included in Customer Data, please direct questions or requests to the relevant customer. We will assist our customers in responding to those requests as required by our agreements and applicable law.
‍

2. Personal Information We Collect

The personal information we collect depends on how you interact with us. We collect information you provide to us, information collected automatically, and information from other sources.

Information you provide to us

  • Contact and business information, such as your name, email address, phone number, company, job title, and country, when you request a demo, contact sales or support, download content, subscribe to communications, or register for a webinar or event.
  • Account and customer relationship information, such as the business contact details of customer administrators and users, login credentials for our customer portals, and billing details.
  • Communications, such as the content of emails, messages, survey responses, and other information you choose to share with us.

Personal Information collected automatically

When you use our website, we and our partners automatically collect information such as your IP address, device and browser type, cookie and other online identifiers, approximate location (derived from your IP address), referring URLs, pages viewed, links clicked, and how long you spend on pages. Some of this information is collected through cookies and similar technologies (see Section 3).

Information from other sources

We may receive business contact information (such as your name, company, job title, and work email) from data providers, event organizers and co-sponsors, business partners, social media platforms, and public sources. We use this information to identify potential customers and to keep our records accurate.

Sensitive information. We do not intend to collect sensitive personal information (such as health data, biometric data, or information about racial or ethnic origin, religious beliefs, or sexual orientation) through the Services. Please do not submit this type of information through our website or services.
‍

3. Cookies and Similar Technologies

We and third parties that provide functionality, analytics, or advertising on our website use cookies, pixel tags (web beacons), local storage, and similar technologies ("Technologies"). Cookies are small files placed on your device that let a website recognize your browser. Pixel tags are small pieces of code that record, for example, that a page was visited, an ad was clicked, or an email was opened. Some Technologies are set by us (first-party) and some by our partners (third-party). Some expire when you close your browser (session) and others remain until they expire or you delete them (persistent).

We use Technologies for these purposes:

  • Essential (always on). These cookies are strictly necessary to work and stay secure, such as bot protection and remembering your cookie choices to provide you with services available through our website and to use some of its features, such as access to secure areas.
  • Analytics (optional). We use Technologies and other third-party tools to process analytics information, which allows us to count visits and traffic sources, show how pages are used (including session recordings and heatmaps), help us fix fault, understand how our Services are used, and continually improve them.
  • Marketing (optional). These cookies are used to make advertising messages more relevant to you. They perform functions like preventing the same ad from continuously reappearing, ensuring that ads are properly displayed for advertisers, selecting advertisements that are based on your interests and measuring the number of ads displayed and their performance, such as how many people clicked on a given ad.

Your choices. The cookies set for you, and your choices, depend on where you are. You can manage your preferences through our cookie banner anytime, or change your settings at any time under "Cookie Preferences" in our website footer; withdrawing consent stops future use but does not undo earlier processing.

Global Privacy Control. We honor the Global Privacy Control ("GPC") signal (globalprivacycontrol.org) as an opt-out of targeted advertising and the sale or sharing of personal information. It applies to the browser that sends it; if we can link the signal to an account or other information we hold about you, we apply it to that too. You may need to set it again on a new browser or after clearing cookies. We do not respond to "Do Not Track" signals, because there is no agreed standard for them.
‍

4. How We Use Your Personal Information

We use your personal information to:

  • Provide and manage our relationship with you, including responding to inquiries and demo requests, providing support, administering customer accounts and billing, and registering you for events and webinars;
  • Operate, secure, and improve the website and Services, including analytics, debugging, preventing fraud and abuse, and developing new features and offerings;
  • Market our products and services, including sending marketing emails, personalizing content, and showing you targeted ads on other sites (see Section 3). We may share hashed (coded) contact information with advertising platforms so they can show our ads to our customers and prospects;
  • Comply with law and protect our rights, including meeting legal, tax, and accounting obligations, enforcing our agreements, and responding to lawful requests; and
  • For other purposes we describe to you when we collect the information, or with your consent.

We may also create de-identified or aggregated information that can no longer reasonably identify you, and use it for any lawful purpose. We will not attempt to re-identify such information and have implemented technical safeguards and business processes designed to prevent re-identification and inadvertent release of de-identified information.

We do not use personal data collected under this Privacy Policy to train large language models or other artificial intelligence models.

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.

Where we need information to enter into or perform a contract with you, we will tell you at the time and explain what happens if you do not provide it. Everything else is voluntary.
‍

5. How We Disclose Your Personal Information

We may disclose personal information to:

  • Service providers that process information on our behalf, such as hosting, IT and security, CRM and marketing automation, analytics, event management, payment processing, and customer support providers. Some service providers may offer AI features, such as summarizing or analyzing information for us;
  • Advertising and analytics partners that collect information through Technologies on our website to provide analytics and targeted advertising (see Section 3);
  • Business partners, such as event co-sponsors or resellers, when you request a product or service we offer together or register for a co-sponsored event;

  • Parties to a corporate transaction, such as a merger, acquisition, financing, reorganization, or sale of assets, including during due diligence; and
